Responsibilities

The Personal Assistant will report to the Managing Director on daily duties and responsibilities including :

Diary and Schedule Management:
• Manage and maintain the MD’s calendar, scheduling meetings, appointments, and travel arrangements. o Proactively identify scheduling conflicts and provide effective solutions.

Communication Management:
• Screen and manage incoming calls, emails, and correspondence on behalf of the MD.
• Draft, proofread, and edit letters, reports, and other documents as required.

Meeting Coordination:
• Organize internal and external meetings, prepare agendas, take minutes, and follow up on action points. o Liaise with clients, stakeholders, and senior management on behalf of the MD.

Travel and Logistics:
• Coordinate domestic and international travel, including flights, accommodation, visas, and itineraries.

Administrative Support:
• Handle confidential documents and maintain a well-organized filing system (both digital and paper).
• Process expenses and manage invoicing for the MD. o Conduct research and compile information as needed for meetings or decision making.

Project Support:
• Assist with the execution and monitoring of special projects and initiatives led by the MD.
• Track deadlines, deliverables, and ensure timely progress updates.
